OneSource
OneSource is VirtualOfficeAmerica's flagship service offering, which
began in late 1999 and has remained our most popular service. OneSource
is the complete outsourcing of all bookkeeping, bill receipt / payment,
statement preparation, payroll processing, employee information and
forms database for unlimited users.
How it works
Your bills are sent to our processing center. We'll even handle changing the
vendor addresses for you. Using our unique processes, your bills are then
scanned and made available to you online over our secure web control panel.
An unlimited number of users, that you control, can also log in and see
payables information and invoice images. All you need to do is indicate
your approval and any changes in the amount to pay. We take care of the rest,
everything from making payments to mailing and responding to vendor requests.
We even do the same with invoices to your clients and customers. After you
approve an invoice we create, we take care of mailing it to your customer or client.
We handle the resulting bank deposit, and because we use a central post office
center and do our own sorting, we typically get your deposit in the bank before
you would otherwise even receive it in the mail.
Then, we enter the information into your accounting system. With our
unique operating methods, we can host the accounting program at our location,
or if you prefer, you can keep it at yours. Your financial accounting system
is updated everyday, and we will publish the reports to your site on whatever
schedule you wish. You'll always know your cash balances, and you can get the
information you need 24 hours a day, from anywhere.
You control what users have access to your site and financial information,
and what they may see or do. You can allow your CPA for example to view
financial reports on your site, but not see current payments / invoices or
detail payroll information. There is no extra charge for additional users
for OneSource clients, so you may add as many users as is beneficial to
you without worrying about costs. Many clients allow their employees to
access a specific section of your site made especially for them, where
they can see their own (and only their own) payroll information, as well
as any forms or documents you wish to make available to them.
Naturally, sometimes you need more active service than simply looking at
your transactions and information on a website, which is where the value
of OneSource is truly apparent. Your assigned administrative staff is
available to you by telephone, fax, email, online chat, or virtually any
other way you want to communicate with them. And, you'll never hear that
you have to wait for service as a client. Even if your normal administrative
manager is not available at the time of your call, our staff will do
whatever it takes to make sure your request is handled immediately and
accurately.
